Ep. 71 - What you should never automate in your spa
Automation has a real cost when it’s applied in the wrong place, and for spa owners, that cost usually shows up as lost trust, not lost time. Just because something can be automated doesn’t mean it should be, and knowing where to draw that line protects the relationships that keep your spa business growing.
Protect the First Real Conversation
The very first conversation with a new client, a consultation call, an intake chat, or the opening minutes of her first appointment, is not the place for a template. This is where she decides whether she trusts you with her skin, her money, and her time going forward.
An automated welcome sequence that reads like it was written for anyone collects the same information as a real conversation, technically. But one makes her feel like a lead. The other makes her feel like a client. That first impression sets the tone for the entire relationship, and there’s no redo.
Keep a Human on Service Recovery
Any time a client is upset, whether it’s a botched service, a scheduling mix up, or a reaction to a product, is the exact moment an automated response does the most damage. A canned “we’ve received your message and will respond within 24 to 48 hours” tells a frustrated client, in the worst possible moment, that she’s a ticket number.
Compare that to a real person calling within the hour. One becomes a client for life who tells her friends how you handled it. The other becomes a review you don’t want. Make sure every member of your spa team knows that upset client messages get a real, fast response, never an automated sequence.
Recognize Your Team in Person
It’s easy to overlook, but how you recognize and develop your team matters just as much. A generic “happy work anniversary” text or a templated performance review can’t carry what a team member needs to feel seen and valued.
Picture two spas. One sends a mass text on a work anniversary. The other has an owner pull a team member aside to name something specific she’s grown at and thank her for something real she did for a client. Only one builds the loyalty that keeps a good esthetician from walking across the street to your competitor.
The Common Thread
All three of these moments, the first conversation, service recovery, and team recognition, are moments where someone is deciding whether they trust you. That trust is the one thing automation can’t manufacture, no matter how good the software gets.
Protecting these three spots doesn’t slow your spa down. It protects the exact relationships, with clients and with your team, that your spa profits depend on.
