Ep. 47 - {Step 3} The First Steps to Hiring Your First Esthetician
I know this might not sound like the most exciting hiring topic. But stick with me, because this one small thing can completely derail your entire hiring process if you ignore it.
When resumes start coming in and they're buried between client confirmations, product orders, receipts, and marketing emails... you're going to feel behind before you've even started interviewing. And I don't want you hiring from a panicked, reactive place. We've leveled up past that.

You Don't Need a New Email Address
I see this advice floating around and I want to clear it up. You do not need to create a separate email address for hiring. What you need is more structure in the one you already have. The problem isn't that everything is in one place. The problem is that everything is mixed together with no method and no system.
So instead of adding something new to manage, let's make what you already have work for you.
Create Three Simple Folders
I use Gmail and I love it. Start by creating three folders specifically for hiring... one for resumes, one for job applicants, and one for employees.
Here's how it flows. When someone submits their resume, it goes straight into the resumes folder. When they move forward in the process, they get filed into job applicants. When they accept your offer, they move into employees. That's it. Clean, simple, easy to follow.
You can even set up a filter in Gmail so that any email containing the words "resume" or "job application" automatically lands in the right folder. No more digging. No more missing people. Everything is exactly where you need it to be.
Templates Will Save You So Much Time
This is probably my favorite part of this whole system. Create email templates for every single stage of the hiring process.
A simple acknowledgment that says we received your application and will be in touch. An invitation to move forward. A kind but clear message for candidates you're not moving forward with. I have templates for all of it, and once they're set up you basically do the work once and you're done.
The acknowledgment template alone will cut down on follow-up emails crowding your inbox. It sets clear expectations, it protects your time, and honestly... it elevates how your spa shows up as an employer. All from one little email.
This Is Really About Leadership
Here's the bigger picture. A well-organized inbox isn't just about efficiency. It's about leading with clarity. When your back end is messy, everything feels reactive. You're making decisions without all the information. You're avoiding your inbox because it stresses you out. Sound familiar?
But when things are organized and you know exactly where everything is... you can breathe. You can think clearly. You can actually enjoy the hiring process instead of dreading it. And hiring can genuinely be exciting when the systems are in place to support it.
Your methods should make things easier, not harder. And this one is so simple it almost feels too easy. But simple is the point.
